Office Administration / Accounting

Job Description:

The Office Administration/Accounting position will be responsible for various accounting projects which require basic accounting skills and Excel skills.  The accounting skills for the position require gathering and analyzing information to prepare Excel worksheets, problem solve and reconcile to general ledger.  A basic understanding of accounts payable, accounts receivable and the general ledger will be required.  The employee will be responsible for maintaining the accounts payable for the District for monthly payments.  This will involve reconciling all accounts payable invoices to purchase orders, receiving reports, coding invoices with the appropriate general ledger account number, and resolving any accounts payable questions with the appropriate department and the vendor.  The employee will be trained to use the accounting software to work with accounts payable and accounts receivable.  The employee will be responsible for the monthly review of customer meter reads for billing.  The review is to monitor for abnormal high or low reads, no reads and to investigate to ensure an accurate read and billing to the customer.  The employee will also be trained to maintain and update the District website.   The employee will also be trained to be backup and support for the receptionist.  The receptionist is responsible for greeting customers, answering the 10-line telephone, assessing customer needs, announcing visitors to management and staff.  The receptionist is responsible for picking up the daily mail, sorting, distributing, and opening customer payments for the purposes of preparing the daily deposit.  The receptionist prepares Excel worksheets, enters customer payments into the billing program, generates appropriate reports and reconciles any differences.  The receptionist is also responsible for various other office and administrative tasks.  The employee will also be trained to be backup and support for the billing administrator.  The employee will be trained on the billing and meter reading administrative procedures.  The employee will be working with other employees throughout the District on various tasks.  The employee will also be given various miscellaneous administrative and accounting assignments by management and other administrative staff.

 Job Requirements:

Requires high school graduation or equivalent and related experience and/or training.  A valid Colorado driver’s license is required.  The computer skills needed include proficiency in Microsoft Windows, Excel, and Word, and ability to use the internet.  Website, accounting and billing software skills a plus.  The accounting skills needed include an understanding of the general ledger, accounts payable, and accounts receivable.  The ability to prepare and reconcile worksheets to the general ledger and other reports.  Applicant should demonstrate the ability to communicate effectively in one-on-one and small group situations, the ability to complete tasks from beginning to end, and must be dependable and keep commitments.  The ability to apply common sense understanding to carry out instructions furnished in written or oral form.  The ability to define problems, collect information, establish facts, solve practical problems, deal with a variety of situations and communicate information appropriately.  While performing the duties of this job, the employee will be working in an office environment, may be required to lift and or move up to 10 pounds.  The employee is frequently required to drive, walk, stand , sit, and use hands to operate phones, computers, open mail and boxes.  The vision requirements for this job include close, distance, and peripheral vision.
