Job Description:
The receptionist greets customers and assesses customer
needs. Announces visitors to management and administrative staff. Accepts
customer payments, makes change, and issues receipts. Handles difficult or
emotional customer situations and informs appropriate staff or management of
difficult customer situations immediately. The receptionist is responsible for
answering the 10-line telephone, directing and responding to inquiries,
troubleshooting and programming as necessary. The receptionist takes incoming
phone information to initiate service orders, record in the service order log
and forward to appropriate department. The receptionist picks up the mail
daily, sorts, distributes, and opens for purposes of preparing daily deposit.
The receptionist sorts, weighs and posts the outgoing mail, updates the postage
meter, renews annual contract and software upgrades. The receptionist sorts and
organizes checks, totals checks and payment stubs in Excel worksheets,
reconciles any differences, endorses checks and prepares daily bank deposit.
After the daily bank deposit is prepared, the customer receipts are entered into
the billing program, appropriate reports are generated, reconciled, and posted.
Daily Excel spreadsheets are prepared for the accounting records. Miscellaneous
receipts, cash receipts, and ACH transactions are totaled, deposited, and
recorded in appropriate reports. The receptionist researches and obtains the
best prices for office supplies. Monitors office supply needs and orders
timely. Coordinates and manages year end office supply order. The receptionist
organizes and maintains the inventory of office supplies in the supply closet.
The receptionist maintains the monthly office calendar and other office and
customer information which needs to be communicated timely. The receptionist
maintains the paper supply for the copy machine, troubleshoots problems, and
calls for service. The receptionist changes the daily backup tape for the
computer network server and records and communicates appropriate information.
The receptionist prepares the board room for board meetings, prepares
refreshments and cleans board room following meetings. The receptionist is also
responsible for the general care and keeping of the office which means placing
dirty dishes in the dishwasher daily and tidying up as necessary between the
weekly outside cleaning services. The receptionist is also given various
miscellaneous other assignments by management and the administrative staff such
as various accounting Excel worksheets to maintain, filing, copying, typing, and
other clerical tasks.
Job Requirements:
Requires high school graduation or equivalent and related
experience and/or training. A valid Colorado driver’s license is required.
The computer skills needed include basic Excel and Word skills, entering data
into accounting and billing software programs, and ability to use internet.
Applicant should demonstrate the ability to communicate effectively in
one-on-one and small group situations, the ability to complete tasks from
beginning to end, and must be dependable and keep commitments. The ability to
apply common sense understanding to carry out instructions furnished in written
or oral form. The ability to define problems, collect information, establish
facts, solve practical problems, deal with a variety of situations and
communicate information appropriately. While performing the duties of this job,
the employee will be working in an office environment, may be required to lift
and or move up to 10 pounds. The employee is frequently required to drive,
walk, stand, sit, and use hands to operate phones, computers, open mail and
boxes. The vision requirements for this job include close, distance, and
peripheral vision.
The hiring range for the Office Receptionist is
$12.00-$13.00/hour DOQ. Evergreen Metropolitan District offers retirement and
